Privacy policy

Last updated: 16 October 2026

shrinkmail is a web app that analyses your Gmail so you can free up space. It runs entirely in your browser: your email doesn't go through shrinkmail's servers, because shrinkmail has no servers that receive it. This policy explains what data is used, where it is kept and how to delete it.

Who is responsible

The controller of your data is Shrinkmail S.L., and for any question about this policy or about them you can write to [email protected].

The permissions it asks Google for, and why

  • View and modify your email (gmail.modify). To read the details of each email listed below, move to the trash, archive or label what you decide to clean up, and undo it. shrinkmail never permanently deletes an email and never sends email.
  • Manage your Gmail filters (gmail.settings.basic). Only requested the first time you create a filter from shrinkmail, and only used to create or delete the filters you ask for.
  • Its own folder in your Google Drive (drive.appdata). A private folder only shrinkmail can see, for the backup. It gives no access to the rest of your Drive. It's optional: without it everything works, just without a backup.

Google also tells shrinkmail your email address, so it knows which account is which.

What email data is used

For each email, only its header details: sender (name and address), recipients, subject, date, size, labels, whether it's read, starred or important, its tab (Promotions, Social…) and whether it comes from a mailing list. Never the content or the attachments: shrinkmail asks Gmail for headers only. You can turn off storing the subject in Settings.

Where it is kept

  • In your browser, in this website's private storage: the index with the data above, your rules, protections, settings and cleanup history. Also the language you choose and your answer about usage metrics.
  • In shrinkmail's private folder in your Google Drive, if you allow it: your settings, rules, protections, cleanup history and a compressed copy of the index, so you can recover everything in another browser.
  • On shrinkmail's servers: no data from your email. Like any website, the hosting provider may log technical data about the visit (IP address, browser) to serve and protect it.

Usage metrics, only if you allow them

During the beta, shrinkmail asks whether you want to send anonymous usage metrics so we know what works. If you say no, or don't answer, nothing is sent. If you say yes, it sends:

  • a random identifier for this browser, not linked to your account or your email;
  • what you do and how much, without details: that you opened the app, that you did a cleanup of a kind (a rule, a suggestion, a quick cleanup…) with how many emails and how many MB, that you undid it, whether you accepted or dismissed a kind of suggestion, whether you reached the free plan's limit and what you answered to the question about paying;
  • the day it happened.

Never addresses, senders, subjects, labels or anything from your emails: the server rejects any other data. Your IP address isn't stored either. The metrics are kept in a Cloudflare database, the hosting provider, are only used to improve shrinkmail, aren't shared with anyone and are deleted after 400 days. You can turn them off at any time in Settings; doing so also deletes this browser's identifier. The legal basis is your consent.

The access Google grants lasts one hour and lives only in the tab's memory: it isn't stored in the browser or anywhere else. shrinkmail uses no cookies, advertising or third-party analytics, and no third-party scripts other than Google's sign-in script.

Limited use of Google data

shrinkmail's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. In particular:

  • Your Gmail data is only used to provide the shrinkmail features you see in the app.
  • It isn't transferred to anyone, sold or used for advertising.
  • No person reads it: it reaches no one but you, in your browser.
  • Usage metrics, if you allow them, contain no data from your Gmail.
  • It isn't used to train artificial intelligence models.

How long it is kept

Until you delete it. What you clean up goes to the Gmail trash, and Gmail deletes it permanently after 30 days; until then you can put it back from shrinkmail or from Gmail.

How to delete everything

  1. In shrinkmail, disconnect the account ticking “Also delete what's kept in this browser” and “Also delete the copy in your Drive”. Disconnecting also removes the permission in Google.
  2. If you can't open shrinkmail: clear this site's data from your browser settings; delete the Drive copy in Google Drive, under Settings › Manage apps › shrinkmail › Delete hidden app data; and remove the permission at myaccount.google.com/connections.

Your rights

Your data is in your browser and your Drive, under your control: you can see it, export it from the app and delete it whenever you want. To exercise any right the law gives you, such as access or erasure, or to make a complaint, write to [email protected]. You can also contact your country's data protection authority.

Changes

If this policy changes, the new version will be published here with its date. If the change affects what data is used or why, the app itself will tell you before it applies.
